MAJOR DUTIES AND RESPONSIBILITIES:

Leadership & Financial Oversight

· Collaborate with leadership to develop and manage the annual operating budget for the clinic.

· Ensure clinic operations remain fiscally sound through effective resource allocation and cost management.

· Oversee third-party billing integrity and service documentation.

· Meet weekly with the Office Manager to review financial and operational performance.

Operational Management

· Direct daily operations of the clinic, working closely with the Medical Management Team on clinical and medical issues.

· Supervise and support the Office Manager, non-clinical support staff, and other team members.

· Ensure adequate staffing levels to provide uninterrupted clinical services during operational hours.

· Develop and maintain efficient staff schedules in collaboration with the Office Manager, Lead Nurse, Clinical Director, and Director of Healthcare Services.

· Monitor site productivity goals, including Direct Services and Health Home Services.

· Maintain comprehensive supply and equipment inventories to support uninterrupted clinic operations.

Program & Service Development

· Participate in program development, including identifying community and patient needs, assessing staffing and resource requirements, and contributing to grant writing efforts.

· Support ongoing performance improvement initiatives and committee participation as assigned.

· Establish and maintain collaborative relationships with community agencies to enhance patient services.

Compliance & Risk Management

· Ensure compliance with standards set forth by accrediting and licensing bodies, as well as all third-party payers.

· Serve as the facility’s Health and Safety lead in accordance with regulatory requirements.

· Follow the Emergency Preparedness Manual to maintain a safe and functional environment.

· Conduct risk management activities including risk assessments, investigations, root cause analyses, and data-driven monitoring of risk trends.

· Maintain adherence to confidentiality standards under CODAC Policy and Procedures, Federal Regulation 42CFR Part 2, HIPAA, and all applicable federal and state regulations.

· Sustain ongoing accreditation compliance through regular trainings and staff education.

Staff Leadership & Development

· Provide effective leadership, guidance, and supervision to staff, fostering accountability and professional growth.

· Conduct and ensure regular staff evaluations, ensuring staff performance aligns with organizational goals.

· Oversee onboarding and training of non-clinical staff, and provide ongoing training as needed.

· Maintain staff confidence through strong supervision, support, and recognition of professional development needs.

· Obtain and sustain proficiency in Motivational Interviewing to support staff and patient interactions.

Communication & Professional Conduct

· Maintain open and regular communication with the supervisor regarding clinic operations.

· Demonstrate professionalism, ethical conduct, and adherence to organizational policies at all times.

· Foster a positive, respectful, and collaborative work environment across all levels of staff and external contacts.

· Provide on-call availability for the facility as required.

Performance & Quality Assurance

· Effectively manage operational dynamics to drive quality performance metrics.

· Ensure timely staff responsiveness to billing and operational requests.

· Actively participate in health and safety meetings, quality improvement activities, and other committee responsibilities as assigned.

· Perform additional duties as needed to support clinic success.

QUALIFICATIONS:

Master’s Degree preferred, with 3–5 years of supervisory experience and/or relevant administrative experience.
